It also does not cover the installation, programming, or commissioning of the systems it specifies – that work belongs to the AV integrator.

When in the Design Phase Should AV Be Specified?

Timing AV design correctly within the project schedule is one of the most consequential decisions an architect can make. Getting it right means integrated systems and accurate bids. Getting it wrong means retrofit conditions and change orders.

AV design should begin during schematic design for any project with significant AV requirements. At SD, the critical decisions are about infrastructure: where will AV equipment rooms or closets be located, what conduit pathways are needed, what structural backing is required for displays, and what power and cooling loads need to be reflected in the MEP engineering.

Design development is where AV system design produces its most detailed coordination work. Display locations, mounting details, conduit and cable tray routing, power outlet placement, and equipment room layouts must be coordinated with the architectural, structural, and MEP drawings during DD. Getting this coordination done during DD means the construction documents reflect it – which means contractors can price and build the work as designed.

Waiting until after CDs are issued to address AV design is a reliable path to field conflicts, RFIs, and change orders. At that point, the ceiling system, conduit, and equipment room sizing have already been determined without AV requirements in mind. Retrofitting AV into a design that wasn't developed with it is more expensive and produces less integrated results than designing it in from the start.

Building AV Design vs. AV Integration: What’s the Difference?

The most common source of confusion in AV project delivery is the conflation of design and integration. These are distinct roles with distinct deliverables, and understanding the difference is important for architects and project managers when structuring the project team.

An AV design consultant is engaged on the design side of the project. The consultant's work product is a set of construction documents – T-layer drawings, specifications, and schedules – that describe the AV systems the building requires. A well-executed AV design package is part of the bid set, enabling multiple qualified integrators to price the same scope against the same performance requirements. The consultant is vendor-neutral: specifications are written around performance, not products, so no single manufacturer or integrator has an inherent advantage.
